This guide will walk you through the steps to set up automatic notifications for pipe stage changes, including choosing the pipeline and pipe stage, selecting the type of trigger, and configuring the message details.
Configure Pipe Stage Change Auto Notification
1. Navigate to Stage Change Settings
- From the main dashboard, locate the Essentials< Settings tab in the main menu or navigation panel.
- Click on Settings to open the settings page.
- Find and click on the Tools< Stage Notification option on the settings page.
- This will open the Stage Notification Settings page.
2. Select the Pipeline and PipeStage
- Click on the Add Rule button on the top right side of the window. A pop-up will appear.
- Choose the Pipeline name from the dropdown where you want to implement Add Stage Notification.
- Within the chosen pipeline, select the specific stage where you want to set up the automation.
3. Select the Trigger Type
- Send Email:
- Choose the send Email trigger option by clicking on the checkbox.
- Then enter the subject of the email.
- Write the email body, including SalesTown attributes (such as name, email, phone, company, lead_owner_name, lead_owner_email, lead_owner_phone, etc.) to personalize the message.
- In case want to send an attachment as well. Click on the Add attachment link.
- Upload the respective attachment.
Note: use attributes in [ ] to add personal information. Personalizing the email with attributes ensures recipients receive contextually relevant information about the lead's progress.
- Send WhatsApp:
- Select an approved WhatsApp template to ensure compliance with messaging standards.
Using templates helps maintain consistency and professionalism in your communications.
- Send SMS:
- Choose an approved SMS template to quickly set up and send concise messages.
SMS notifications are effective for instant communication and updates.
4. Set the Trigger Time
- Select the specific time duration after which the stage change should be triggered. Options range from immediate to after 10 days.
- Then tick the below trigger, either one of them or both.
- Then click on the Save button.
- After choosing, the rule will be created and shown in list form with edit and delete options in it.
Alerts and Notifications
- Notification Timing:
- Be mindful of the timing of your notifications to avoid overwhelming recipients with too many messages.
- Consider the urgency and relevance of the notification when setting the trigger time.
